Research team management

Who someone is does not, by itself, define what they can do.

KaiperKit separates scientific role, platform access and participation in specific research activities. Three distinct dimensions for organising scientific teams without treating every member as the same kind of user.

Three different questions

Scientific identity, access and participation do not have to be the same.

A PhD researcher can be an Editor. A researcher can be a Collaborator on the platform. An external member can have different access levels. KaiperKit records each dimension separately.

01Who are they?

Scientific role

Describes the person's function within the research environment.

PI · Researcher · PhD researcher · Technician
02What can they do?

Platform role

Determines general reading, editing and administration capabilities.

Owner · Admin · Editor · Collaborator · Viewer
03Where do they participate?

Assignments

Connect members with specific research entities and tasks within the workspace.

Project · Paper · Research line · Thesis · Conference · Funding call
Scientific identity

Each person's role within the research team.

The scientific role adds organisational context to the profile. It is descriptive: it does not automatically grant permissions or determine which entities a member can access.

Platform access

Five roles to distinguish viewing, working, structuring and administering.

Permissions depend on the platform role, not on the member's scientific title.

OwnerWorkspace ownerYesYesYesYesYes
AdminOperational administrationYesYesYesYesYes
EditorWorkspace-wide work without structural controlYesYesYesNoLimited
CollaboratorAccess determined by assignmentAssigned onlyNo global accessNoNoNo
ViewerWorkspace viewing accessYesNoNoNoNo

The table summarises the common rules across core entities. Some areas apply additional restrictions. Editors can invite members and edit their scientific role, but only Owners and Admins can change platform roles or remove members.

Participation

Knowing who is in the workspace is not enough.

Assignments record where a person participates in the research. They can be activated or deactivated and can include start dates, end dates and notes.

Entity assignments and task assignments are separate concepts: one places a person within a research context; the other distributes operational work.

Member typeInternal

Describes an internal relationship with the team.

Member typeExternal

Identifies collaborators linked from outside the organisation.

The member type is descriptive. Being external does not, by itself, restrict access: that is determined by the platform role and, for Collaborators, by their assignments.

Onboarding

From invitation email to specific participation.

KaiperKit creates an invitation for the specified email address, records the selected roles and activates membership when the person accepts using that same address.

04AssignResearch contexts and tasks

Invitations use a token, expire and record their acceptance. KaiperKit does not currently offer SSO, SCIM or automated provisioning.

The Collaborator role

Participating in one research context does not require access to all the others.

Across the core entities, Collaborators can view those for which they have an active and valid assignment. They can also view their own or assigned tasks. They do not have workspace-wide editing access.

Frequently asked questions

Roles, participation and permissions for research teams.

The current scope of KaiperKit's team system, explained without confusing scientific identity with access.

The scientific role describes the person's research function. The platform role determines their general reading, editing and administration capabilities. They are independent fields.

PI, researcher, PhD researcher, co-supervisor, coordinator, technician, research intern, collaborator, student and other. None of these roles automatically grants permissions.

Owner, Admin, Editor, Collaborator and Viewer. Owners and Admins manage structure and team members; Editors can work across the workspace without deleting core entities; Collaborators can view assigned elements; Viewers have general read-only access.

Yes. A member can be marked as internal or external. That classification does not change their permissions by itself: access depends on their platform role.

Yes. Assignments connect members with projects, research lines, papers, theses, conferences and funding calls. For Collaborators, these assignments determine which core entities they can access.
